How to write a Resignation Letter (Sample Letter Included)

A resignation letter is a formal document submitted by an employee that announces their exit from a position with a company. Though not required, it is fair to give employers notice that you will be leaving a position, so they can put plans into action to have someone pick up where you left off.

Leaving a job is a bittersweet moment, on one hand, you are moving on to something new, maybe a new location, higher position, or more money but on the other hand you are leaving everything and everyone you know for something you don’t. Regardless, it is always best practice to leave jobs on a positive note.

A good resignation letter doesn’t need to be more than 100 words and those words include addresses of both you and the employer, names, reference, and the body of the letter. The resignation letter must state the following:

  • Termination Date (The date you intend to stop working within the position; normally two weeks from the date on letter)
  • Employer Details (Name of the Manager / Supervisor, Title, Company Name, Company Address)
  • Employee Details (Your Full Name and Address)
  • Today’s Date 

Even though we may hate the job we are leaving, it is best to practice the following:

  • Speak as if you were speaking to your new boss, in other words, remain professional regardless of your feelings towards your boss.
  • Written Evidence – Do not speak negatively about anyone or the company itself in a written document. This can affect you when your new job calls for a reference.
  • Do not feel compelled to list personal details about why you are leaving the job. – The only person that needs to know why you are leaving is yourself. The only thing your job needs to know is when not why.
