JOB SUMMARY

First Rock Realty Limited, a part of the First Rock Group, is seeking a motivated Real Estate Administrative Assistant to join our growing team.

Responsibilities will include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments.

RESPONSIBILITIES:

  • Complete paperwork for all real estate transactions in a timely manner to ensure that transactions are compliant and completed as quickly as possible
  • Monitor deadlines and provide notices to appropriate parties when necessary
  • Schedule appointments with all parties, including open houses and the final walk-through
  • Assist with organising company and/or community outreach events
  • Coordinate all marketing materials including brochures, flyers, online marketing, and social media posts to continuously build the First Rock Realty Brand (may involve external 3rd parties)
  • Support the company and agents by marketing the company and listings on multiple social media platforms
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Deliver concierge-level customer service to all stakeholders (team members, sellers, buyers, landlords, and tenants) to achieve excellent customer satisfaction ratings
  • Be willing to participate in training sessions to improve skills with administrative tasks in the real estate industry
  • Other reasonable duties and tasks as assigned

QUALIFICATIONS:

  • Bachelor’s Degree in Business Administration, Marketing, or a similar/suitable discipline
  • Real Estate License is a plus but not necessary
  • At least 2 years experience in marketing and/or real estate
  • Available evenings and weekends
  • Has knowledge of Microsoft Office and Customer Relationship Management Software
  • Excellent written and verbal communication skills
